Authorised Representatives of Member Associations
According to the OHTA Articles of Association, the Board must keep a register of names and addresses of the members together with the name of each member’s Authorised Representative. OHTA assumes that an individual who represents an organisation that is a member of OHTA would expect to receive communications such as an e-bulletin or news release because they align with the objectives and commitment identified in OHTA’s agreement with the association. These communications are sent to the Authorised Representative based on there being a legitimate interest for the representative and the association, and so that the representative can share information with the association.
OHTA Trainers
OHTA assumes that an individual who represents an organisation that is an Approved Trainer of OHTA would expect to receive communications such as an e-bulletin, news release, or guidance on course delivery because they are considered professionally relevant, and provide information relating to the OHTA international training scheme and qualifications framework.
Personal information is stored securely on our computer system and in Dropbox, which is a cloud-based system.
Supporters of OHTA
If you attend an event related to OHTA for which OHTA provides speakers and content as well as organising the venue, you will usually be asked to provide personal information (name, organisation). We will use your personal information to keep a record of attendance. If you would like to be added to our distribution list for news about OHTA, you can sign up at the event by providing your email address, or sign up on our website.
If you are a speaker/presenter at an OHTA event, we will publicly promote your involvement via Twitter (now X), LinkedIn, and emails to our stakeholders. This data may continue to be processed by those platform providers after the event has ended.
If you belong to an organisation that is a partner/stakeholder of OHTA, or are a volunteer working for OHTA, OHTA assumes that you would expect to receive communications such as an e-bulletin or news release because they are considered professionally relevant, and provide information relating to the OHTA international training scheme and qualifications framework
We use Mailchimp to manage our emails relating to announcements and ebulletins. Mailchimp stores their data in the US although they comply with the EU-U.S. Privacy Shield Framework and the Swiss – U.S. Privacy Shield Framework. You can opt-in or out at any time by selecting ‘unsubscribe’ at the bottom of one of our emails or by sending an email to team@OHTAtraining.org.
Website Users
We only collect the minimum personally identifiable information that is needed to operate OHTAtraining.org. We may however collect anonymous (non-personally identifiable) information to help us improve the OHTA website.

Website Administrators (OHTA Approved Training Providers)
We need to obtain and hold personal information about you so that you can be registered as an administrator in order to manage your organisation’s web pages. Education, qualification and exam candidates
If you take an OHTA course and examination, we capture personal information from you in order to process your examination and inform you of your examination result. We will also contact you by email from time to time about related training courses and qualifications.
When we collect this data, we will also ask you to opt in to hear about other services provided by OHTA. You can opt in or out at any time by sending an email to team@ohtatraining.org or calling +44 1506 639613
Your personal information is stored securely on a computer system provided by Moodle and hosted within the USA.
There are occasions where OHTA needs to share your data in order to administer your qualification, and in doing so will share the minimum amount of personal data necessary to do this. This is done on the understanding that that the data processors only use the information for this purpose. Specifically, we share your data with examiners, who are individuals working on behalf of OHTA. The examiners will only be provided with your name and exam submission, and no other personal information. For individuals who have passed an OHTA module, we may publish your name, the title of the qualification, the date you passed and your certificate number on the OHTA website at ohtatraining.org We will also share your qualification result with your OHTA Trainer, on receipt of a written request, to public or professional bodies, service authorities, universities, colleges, your current, past or prospective employer/recruitment agency and any other body if we are required to do so to comply with regulation or law.
We maintain a record of your qualification indefinitely, and will take reasonable steps to keep an accurate record of any personal data you have submitted. However, we do not assume responsibility for confirming the ongoing accuracy of your personal data. Third Parties
We do not disclose personal information to any unaffiliated third party without your express agreement. If you suspect that information about you has been used by third parties without your agreement please let us know so that we can investigate the circumstances.
